{"id":23734,"date":"2022-06-13T09:25:32","date_gmt":"2022-06-13T13:25:32","guid":{"rendered":"https:\/\/avtech.com\/articles\/?p=23734"},"modified":"2025-09-29T14:58:09","modified_gmt":"2025-09-29T18:58:09","slug":"how-to-manage-user-access-to-your-roomalert-com-account","status":"publish","type":"post","link":"https:\/\/avtech.com\/articles\/23734\/how-to-manage-user-access-to-your-roomalert-com-account\/","title":{"rendered":"How To Manage User Access To Your RoomAlert.com Account"},"content":{"rendered":"\n<p>You can manage access to your organization&#8217;s Room Alert Account by <a href=\"https:\/\/avtech.com\/articles\/40\/\" target=\"_blank\" rel=\"noreferrer noopener\">adding users<\/a> and <a href=\"#assign\">assigning roles<\/a>. <\/p>\n\n\n\n<p>If your organization&#8217;s account has been upgraded to the Enterprise level or higher, you may grant each user one of five different levels of access. <\/p>\n\n\n<div class=\"su-note\"  style=\"border-color:#bcc7cd;border-radius:5px;-moz-border-radius:5px;-webkit-border-radius:5px;\"><div class=\"su-note-inner su-u-clearfix su-u-trim\" style=\"background-color:#d6e1e7;border-color:#ffffff;color:#000612;border-radius:5px;-moz-border-radius:5px;-webkit-border-radius:5px;\">\n\n\n\n<p>Prior to an update on June 15, 2022, all users assigned to an account at RoomAlert.com had the same permissions; essentially, all users had administrator-level access to the account. Because of this, when user roles were added to Room Alert Account, all existing users were given the role of administrator on any accounts they were assigned to.<\/p>\n\n\n<\/div><\/div>\n\n\n\n<p>To learn more about user roles, click the tabs below.<\/p>\n\n\n<div class=\"su-accordion su-u-trim\"><div class=\"su-spoiler su-spoiler-style-fancy su-spoiler-icon-plus su-spoiler-closed\" data-scroll-offset=\"0\" data-anchor-in-url=\"no\"><div class=\"su-spoiler-title\" tabindex=\"0\" role=\"button\"><span class=\"su-spoiler-icon\"><\/span>Types of user roles<\/div><div class=\"su-spoiler-content su-u-clearfix su-u-trim\">\n\n\n\n<p>There are five types of user roles at RoomAlert.com: <em>Administrator<\/em>, <em>Provisioner<\/em>, <em>Operator<\/em>, <em>Viewer<\/em> and a <em>Billing <\/em>role.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Administrator<\/h3>\n\n\n\n<p>An Administrator\u2026<\/p>\n\n\n\n<ul>\n<li>has full access to all features and settings within Room Alert Account.<\/li>\n\n\n\n<li>can manage other* users in the following ways:\n<ul>\n<li>grant \/ revoke their access to the account, and<\/li>\n\n\n\n<li>change their user role on the account.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<p><em>*An admin cannot change their own role; they can only be demoted by a different admin on the account.<\/em><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Provisioner<\/h3>\n\n\n\n<p>A Provisioner&#8230; <\/p>\n\n\n\n<ul>\n<li>has access to manage <strong>non-Administrator<\/strong> level users on the account.\n<ul>\n<li>This includes granting \/ revoking access to the account, and changing the role of other <em>Provisioners<\/em>, <em>Operators<\/em>, <em>Viewers <\/em>and <em>Billing <\/em>users.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>cannot access any other features or settings within Room Alert Account.\n<ul>\n<li>Other sections of Room Alert Account are completely hidden.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Operator<\/h3>\n\n\n\n<p>An Operator&#8230; <\/p>\n\n\n\n<ul>\n<li>has full access to all devices, alerts, data groups, downloads etc..<\/li>\n\n\n\n<li>cannot access the <em>Manage Account Settings<\/em>.\n<ul>\n<li>This means that operators cannot manage other users on the account or access subscription\/billing information.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Viewer<\/h3>\n\n\n\n<p>A Viewer&#8230; <\/p>\n\n\n\n<ul>\n<li>has <strong>read-only<\/strong> access to these sections of Room Alert Account: <em>Devices<\/em>, <em>Monitor360<\/em>, <em>Guidance<\/em>, <em>Alerts<\/em>, and <em>Sensor Data &amp; Reporting<\/em>.\n<ul>\n<li>The only sections of Room Alert account that can be modified by a Viewer are their personal <em>Dashboard <\/em>&amp; <em>Profile Settings<\/em>.<\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>cannot access other features or settings within Room Alert Account<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Billing<\/h3>\n\n\n\n<p>A user with a Billing role&#8230;<\/p>\n\n\n\n<ul>\n<li>has full access to the account&#8217;s subscription\/billing information.\n<ul>\n<li>Can manage the account&#8217;s upgrade level, update credit card information, etc.. <\/li>\n<\/ul>\n<\/li>\n\n\n\n<li>cannot access any other features or settings within Room Alert Account.\n<ul>\n<li>Other sections of Room Alert Account are completely hidden.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n<\/div><\/div>\n<div class=\"su-spoiler su-spoiler-style-fancy su-spoiler-icon-plus su-spoiler-closed\" data-anchor=\"assign\" data-scroll-offset=\"0\" data-anchor-in-url=\"no\"><div class=\"su-spoiler-title\" tabindex=\"0\" role=\"button\"><span class=\"su-spoiler-icon\"><\/span>Assign a role to a new user<\/div><div class=\"su-spoiler-content su-u-clearfix su-u-trim\">\n\n\n\n<p>The first user assigned to an organization&#8217;s Room Alert Account inherits the role of Administrator. (This user can later have their role demoted by another Administrator on the account.)<\/p>\n\n\n\n<p>After the first user, any additional users on the account can be assigned any role. For information about how a new user&#8217;s role gets assigned, please see <a href=\"https:\/\/avtech.com\/articles\/40\/\" target=\"_blank\" rel=\"noreferrer noopener\">How To Add A New User To Your RoomAlert.com Account<\/a>.<\/p>\n\n\n\n<p>If an account is using <a href=\"https:\/\/avtech.com\/articles\/23749\/\" target=\"_blank\" rel=\"noreferrer noopener\">SAML Single Sign-On<\/a>, new users default to the role of Viewer.
